of Ottumwa is looking for a Full-time Office Assistant.
This position manages business-related tasks and will be responsible for handling confidential and sensitive information while assisting the office they oversee.
To do this role properly you should have a detailed understanding of Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.
Customer Service experience is required!This position required direct work with clients who have a physical and/or mental disability.
Experience in the health care field preferred.

Responsibilities:
Perform reception duties including telephone management and assisting people entering the office.
Takes and retrieves messages for various personnel as needed.
Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
Responds to inquiries from employees, citizens and others when necessary, to the appropriate person, office or department.
Prepares outgoing mail, receives, sorts and forwards incoming mail.
Maintains and routes publications.
Assists with other related clerical duties such as:
photocopying, faxing, filing and scanning.
Develops and maintains office forms and procedures.
Operates office machines as requried.
Composes, types and edits correspondences, reports , memoranda and other materials as needed.
Maintains office supply inventory and assists in the ordering, receiving, stocking and distribution of office supplies.
Make daily reminder calls for scheduled appointments as needed.
Creates new clients electronic profiles in Vision Works and creates paper files for clients.
Maintains open and closed client files.
Maintain strict confidentiality of individual's records and all other business matters regarding the agency.
Ability to be flexible as the job may require late working hours outside of the normal business hours Must maintain a professional appearance and work effectively with people.
Performs other related duties as required to accomplish the objectives of the position, as assigned.
Qualifications/Requirements:
An Associate's degree in a human services-related field, or high school diploma (or equivalency) with a minimum of two years of experience in administrative services.
Experience managing multiple calendars Ability to answer phones and communicate with others in a multitasking manner Computer literate with knowledge of data base programs and Microsoft Suite.
Able to lift a minimum of 40 pounds without restrictions.
Satisfactory results on background checks pertaining to criminal and abuse registries.
Must have valid driver's license and personal auto insurance as required by the State of Iowa and be insurable under the company's insurance.
